Responsibilities

JOB PURPOSE: We are seeking a highly organized and detail-oriented License Administrator to oversee and manage all aspects of licensing and regulatory compliance for our organization. The ideal candidate will be responsible for ensuring that the company and its locations maintain current and accurate business licenses and permits across all jurisdictions in which we operate. This role requires strong project management, research, and communication skills.

 

ESSENTIAL DUTIES AND RESPONSIBLITIES:

  • Research, obtain, renew, and manage all required business licenses, permits, and registrations across local, state, and federal jurisdictions.
  • Maintain our established centralized database or tracking system of license and permit requirements, statuses, deadlines, and renewal schedules.
  • Coordinate with internal teams to ensure compliance with all regulatory requirements related to licensing.
  • Communicate with regulatory authorities and licensing agencies to resolve issues, clarify requirements, and maintain good standing.
  • Lead licensing efforts during company expansion into new jurisdictions or markets.
  • Prepare and submit accurate and timely license applications and renewals.
  • Provide regular reporting on license compliance status and escalate risks as needed.
  • Develop and implement standardized procedures and best practices for license management.
  • Train and support internal teams on business licensing processes and requirements.
  • Support the legal department on an as-needed basis (e.g. respond to subpoena).

Qualifications

QUALIFICATIONS:

  • Bachelor’s degree in Business Administration, Legal Studies, Public Administration, Paralegal Certificate or related field (or equivalent experience).
  • 2+ years of experience in business licensing, regulatory compliance, or similar role.
  • Strong understanding of local, state, and federal business licensing requirements.
  • Experience managing regulatory filings across multiple jurisdictions is a strong plus.
  • Exceptional attention to detail and organizational skills.
  • Excellent communication and interpersonal skills.
  • Proficient with Microsoft Office. Familiarity with Avalara Business License Management a plus.
  • Ability to manage multiple priorities in a fast-paced environment.

 

PREFERRED QUALIFICATIONS:

  • Experience working with external regulatory agencies and licensing boards.
  • Familiarity with legal documents and compliance frameworks.
  • Experience as a paralegal.
